Dance studio music management: a practical guide

The problem most studios recognize immediately
Registration and billing software runs the business side of a dance studio well. None of it touches the thing teachers actually need every hour of every day: the music. So class music ends up scattered across personal phones, a laptop in studio B, an aging USB stick, a shared Dropbox folder nobody has cleaned since 2023, and a stack of downloads named "final_final_mix_v3.mp3".
It works until it doesn't: a substitute teacher can't find the track, a teacher leaves and the recital music leaves with them, or three minutes of class disappear while someone scrolls a phone looking for a cut.
What a working music system needs
- One library, not ten. Every teacher pulls from the same place, so there is never a question of which copy is current.
- Structure that matches your schedule. Season, program, teacher, class, playlist — whatever your studio already says out loud should be what the software says too.
- Search that covers everything. If you have to remember which folder a song is in, the system has already failed.
- Playback built for a studio floor. Big controls, scrubbing, volume, and speed adjustment — usable from a phone or tablet with a room full of dancers waiting.
- Access you control. Teachers should be able to play everything and download nothing. When someone leaves, their access ends and the library stays.
- Privacy between studios. Your library is your competitive work. It should never be visible to anyone outside your studio.
Setting it up without losing a weekend
The usual blocker is data entry — nobody wants to type 40 class names by hand.
